To email from Visit Tracker, the guardian does need to "verify" their email address with us.
When you add a family's email address, they will get an email from us asking to verify their email. Once the guardian has verified, then you can email from Visit Tracker. You may want to give them a heads up that the email is coming and that it isn't spam.
Here is a copy of the email they will receive:
Dear [familyname],
[home visitor] from [program name] wants to send you email from VisitTracker to help keep you informed and updated about appointments, referrals and events.
Please click [activationlink] to allow [home visitor] from [program name] to send you emails.
Thank you,
VisitTracker on behalf of [home visitor] / [program name]
From the Guardian Data page, you will be able to see which emails have been verified.
An "Envelope" icon, means the email is verified. A link that says "verify e-mail" means the guardian has NOT yet verified. You can send the link again.
You can send the verification email 3 times before the system will lock that email address. You will need to reach out to support to reset the email. You can email help@data-keeper.com or submit a ticket through the Support tab to request the reset.
If you would prefer not to email families through Visit Tracker, you can disable this feature. The main admin can disable that from the Set UP tab --> Family/Child Data. Open the Guardian/Data Fields menu. Uncheck the box for "Email Verification". This will allow you to enter the email address without the verification email being sent. You will not be able to email families from Visit Tracker.
