When deactivating a home visitor that has a current caseload of families, you must first reassign all children to another home visitor. In this tutorial, we’ll show you how you can both deactivate, create a new home visitor and reassign all children to the new home visitor in 1 process.
ENTERING A NEW HOME VISITOR
Go to the Home Visitor tab and select "New Home Visitor" on the left hand side.
You can select to replace a home visitor and then select the current home visitor that you are replacing.
Enter the new home visitor’s information
- You should fill out the required items that are marked with a red asterisk. You specify the Username you want them to use. You might get an error if someone else on our system has the same login name so you will want to add letters or use a number in the login name. Capitalization will matter. You may add the other information as you know it.
- Click the "Create" button at the bottom to save the new home visitor.
- The home visitor will then receive an email with the login and instruct them on how to set up their password. Once they have set up their password, they will be able to login right away. *(If they are not seeing the email right away, please check junk folder)
Your new home visitor has been created and the deactivated home visitor can be seen in the Deactivated section.
DEACTIVATING A HOME VISITOR WITH A CASELOAD
For any of your active home visitors, you can click the Deactivate button at any point even if the home visitor has an active caseload. If that is the case, you will be prompted to choose 1 of 3 options

New Home Visitor - Will allow you to continue to the page where you will enter a new home visitor

Existing Home Visitor - select from the drop-down of active home visitors to assign the deactivating home visitor’s entire caseload

Reassign each child individually - will open a page listing each child and allow you to select a current home visitor for each child
