For programs new to Visit Tracker that had data migrated from a legacy system, this article will go additional items to review beyond the typical new account support.
Welcome emails & logins
The Main Admin will receive a welcome email
- After data migration takes place, the person listed as the supervisor from the legacy system will become the Main Admin and receive the welcome email to get started
- In the email will be the information needed to create a password and links to support material to get started.
Home Visitors will receive password reset emails
- In the data migration, the home visitors will also be migrated.
- Each home visitor will receive a password reset email to set up their login.
If you don't receive your email
- First check your spam/junk folder
- If not there, check with your agency tech support in case the email is being blocked. If so, ask them to add "@visittrackerweb.com" to the safe list
- Submit a help ticket indicating that you need login support if you the first 2 steps don't resolve the issue.
Reviewing Caseloads
Once you are logged in, it'll be important to review each home visitor's caseload assignment.
- Are all the home visitors present in the account?
- Are all the families assigned correctly?

Important! If the Main Admin of the account also carries a caseload, they will have to have a home visitor login that is separate from the Main Admin login.
- From the migration, they will notice that they have 2 different logins
- The Main Admin login can be the main login used. There is not a need to use both.
Specifics to PAT Data Migration from Penelope
Specific items related to the PAT Affiliate migration
Alt ID 1 and Alt ID 2
Some families have 2 alternate ID's listed - Alt ID 1 and Alt ID 2. This data is being migrated but you won't be able to see that data without making some updates to your account in the Setup section.
The Preferences overview (view article) covers the basics on making these changes. But here's specific steps to take.
- In Preferences > Family/Child Data. Click on Family Data
- Scroll down to the user fields
- In User Field 1, type "Alt ID 1" and click to show
- In User Field 2, type "Alt ID 2" and click to show
That's it. These fields will now show on each family's data page and can be exported from REPORTS > GENERAL REPORTS > DATA EXPORTS > FAMILY DATA.
