When updating a referral, you will choose the latest status for that referral. The Coordinated Intake agency will be updated also and see the referral's latest Referral Status any progress notes added.
THESE ARE NEW REFERRALS.
These are the referrals that have not been reviewed or updated in any way by the home visiting agency.
ONLY ADMINS OR HOME VISITORS WITH ADMIN PERMISSION CAN ACCESS THESE REFERRALS.
IL COMPLIANCE - These referrals should be reviewed and updated within 2 business days
NOTE: The Deliver status is only selected by the CI Agency in order to deliver the referral to the HV Agency. Deliver referrals will show both on the Admin home page and in the CIAT/Referrals List
Pending Accept -
Use this status to indicate that the Referral is under review.
Assign home visitor to review -
The ADMIN has assigned the referral to a HOME VISITOR.
The HOME VISITOR will then see this referral on their home page and be able to review the referral and update the referral.
IMPORTANT: Once the referral status is updated to something other than "Assign home visitor to review", the referral can no longer be accessed by the home visitor.
Enrolled in other services -
Family was not enrolled in home visiting but other services were offered by the home visiting agency.
Enrolled in home visiting -
Family was enrolled in home visiting.
IMPORTANT: This status enrolls the family and adds them to the program’s active family list.
If the Admin is updating the referral, the Admin will assign the family to a home visitor and the family will be added to the home visitor's Active family list.
If the home visitor is updating the referral, the family will be assigned and added to this home visitor's Active family list.
RULE: This status is not available for families that have a previous referral with Referral Status = Enrolled in home visiting.
Re-enrolled in home visiting -
If a family was previously enrolled in home visiting services with the same agency from a past CIAT referral, then the family can only be re-enrolled.
The family will still need to be updated on the home visiting portion of the Visit Tracker account. To do this, locate the family in the Family Non-Actives section and update their Enrollment History.
RULE: This status is not shown if the family has never been enrolled in home visiting from a CIAT with this home visiting agency.
Home visiting agency is not going to enroll the family
This status will open an additional "Decline Reason" selection list so the home visiting agency can select why the referral was declined.
